By CHEONG "K.C." KONG CHUAN Our Employee Improvement Program has launched a Knowledge and Information Database (KID) to help improve efficiency and productivity. The specific objectives of KID are as follows:-
The EIP Committee will evaluate all contributions based on specific criteria and points will be awarded accordingly. Given that points awarded for such contributions as well as for ‘Staff Suggestion’ will be rewarded, I have asked my colleagues to plunge in and make you’re their first contribution. As I report on the results in future editions of the APS Quarterly, other companies might find some value in this innovation. The KID is residing at ADMIN folder in Lotus Notes. This user-friendly database opens up to four different views and also templates for making contribution in respective categories. Users who face any difficulties accessing the KID can approach any EIP Committee Members or Pik Hwa for assistance. The EIP Committee faithfully hope that all employees would the KID useful in accessing the wealth of information and knowledge within the company, as well as making contributions to enrich the horizon of other employees. So, you have now heard of the KID. All of you should have also been notified via the Bulletin Board.
The Employee Improvement Program has four main functions – Employee Suggestion Scheme (ESS), Knowledge and Information Database (KID), Work Improvement Teams (WITs) and Bulletin Board (BB). The ESS is a platform for employees to communicate their ideas to the management so that improvement could be made to their day-to-day work. The employees and the company will benefit from the improvements through better productivity, enhanced motivation and job ownership. The management has set a target of one suggestion per employee per year to inculcate this best practice in RDC. The KID aims to complement the Employee Suggestion Scheme by broadening the avenue for sharing among the employees. In the KID, the Sky is the Limit, when it comes to knowledge and information sharing. Every employee is encouraged to enrich one another’s intelligence by sharing relevant and useful information. The much-hyped Knowledge Economy requires proper Knowledge Management in all organisations, and Knowledge Management is very much about converting data to information, information to knowledge and knowledge to business intelligence. RDC aspires to ride the wave of the Knowledge Economy. Let it all begin with our KID. After preparing the avenues for communication of ideas and sharing of knowledge and information, you would guess what’s next – TEAMWORK of course. We have Work Improvement Teams. The teams are our vehicle to work on the valuable ideas from ESS or it could be formed on ad-hoc basis for special assignments. The crux is that we want to uncover the synergy of teamwork, especially those from cross-functional and cross divisional so that the few brains working together could produce an output significantly more than the few brains working independently. The last function of our EIP plays no-less important role compare to the aforesaid. The Bulletin Board is to RDC Concrete what Singapore Press Holdings is to the Republic of Singapore. This article is delivered to you via BB. You found out the good news about the Christmas and Hari Raya block leave via BB. BB publicizes in RDC. However, there is one capability of BB that has been left idled. It is the Forum. This is the platform for the entire company to delve into issues that affect our work, our life, our everything. Come on guys and gals, ladies and gentlemen, superiors and subordinates, we need something on the Forum! A program so comprehensive sure needs some capable hands to manage. In the newly converted EIP Ambassadors, we have all the able hands and heads to keep our precious EIP going and kicking. The EIP Ambassadors, led by the Chief Ambassador, Mr. Tay Swee Mow, form the governing council that looks into the policy setting, program enrichment, target setting, implementation and execution, administration, propagation and recognition in the EIP. The detail roles and responsibilities of the EIP Ambassador are posted in the EIP database – EIP Registry.
